Zoom transcription after the call

Record in Zoom the way you already do. When the call ends, upload the recording and get a transcript with speaker labels, plus a summary and action items. Nobody sees an extra participant, because nothing from Textspert joins the meeting.

Where Zoom puts your recording

Zoom has two kinds of recording, and each lands somewhere different. Menu names shift between Zoom versions and account types, so look for the nearest match.

  • Cloud recordings

Paid Zoom accounts can record to the cloud. Sign in on the Zoom website, open Recordings, pick the meeting and download the video or the audio-only file. The host, or whoever the host shared it with, can do this.

  • Local recordings

Recording to this computer saves the files when the meeting ends. By default they go in a Zoom directory inside Documents, one subfolder per meeting, with an MP4 and usually an M4A audio-only copy.

Either file works. The M4A is smaller and quicker over a slow connection, and the transcript comes out the same, since only the sound is transcribed. Long all-hands calls fit on a paid plan or hour pack, up to 10 hours per file.

From Zoom call to finished notes

  1. Record the meeting

Start a cloud or local recording in Zoom, and say at the start that you’re recording.

  2. Download the file

Grab the MP4 or M4A from Recordings, or from the meeting’s subfolder under Documents.

  3. Upload with speaker labels on

Turn on Recognize speakers so each line shows who said it. Auto language suits most calls.

  4. Run the AI notes

One click drafts a summary, chapters and action items. Edit them like any text, then export or share a link.

Speaker labels on a crowded call

Labels cover up to 4 speakers per file. A one-to-one, a sales call with a small team, or a panel of three plus a host all fit. On a call with eight people, some voices will share a label, and you’ll move those lines to the right person in the editor.

Zoom’s local recording settings can save a separate audio file for each participant. Turn that on and you can upload each person’s track on its own, with every word already attributed. Speaker identification explains how labels work and how to fix them.

Why upload instead of using a meeting bot

Bots that join calls are handy, but they change the room. Guests ask what the extra participant is, some companies block unknown attendees outright, and a bot can keep recording after the people who invited it have left. With an upload, the only recording is the one Zoom already made, under the host’s control.

You do give up notes while the call is still going. If live notes matter most, a bot-based service fits better. If you mostly want a clean record afterward, uploading is simpler. Meeting transcription covers Teams and Google Meet the same way.

Zoom transcription questions

Does Textspert join my Zoom meetings?

No, never. You record in Zoom and upload the file when the meeting is over.

Should I upload the MP4 or the M4A?

Either. The M4A is audio only, so it’s a much smaller upload with the same transcript. If another app needs the call as an MP3, the M4A to MP3 converter makes one without uploading the file.

Zoom already makes a transcript. Why use Textspert?

Zoom’s own transcript depends on your plan and settings. Here you get an editor with click-to-play words, speaker renaming, 100 languages, AI summaries and exports to TXT, DOCX, PDF, SRT, VTT, CSV and JSON.

How long can a Zoom recording be?

Up to 60 minutes per file on Free. Paid plans and hour packs take recordings up to 10 hours and 5 GB.

How many AI summaries do I get on Free?

3 AI summaries a day, each with chapters and action items for that file.

Can I share the notes with people who missed the call?

Yes. Make a read-only share link with an optional expiry date, or send a DOCX or PDF.
